Booking Terms & Conditions

These Terms and Conditions apply to all bookings made with European Destination Management Oy (trading as DMC Iceland). By confirming a booking with us, the Client accepts these terms on behalf of their group or company.

1. Booking & Contract

A booking is considered initiated when the Client accepts our proposal. However, the final, binding terms regarding cancellation policies, payment schedules, and liability will be issued in a specific **Electronic Contract**.

The agreement is concluded and becomes legally binding only upon the **digital signing** of this Electronic Contract by both DMC Iceland and the Client. The terms outlined in that specific contract supersede any general terms listed on this website.

2. Payment Terms

Unless otherwise agreed in your specific Electronic Contract, our standard payment schedule is as follows:

  • Deposit: A non-refundable deposit (typically 10-30%) is required upon confirmation to secure accommodation and services.
  • Balance: The remaining balance must be paid in full no later than 45 days before arrival or earlier (according to suppliers terms)
  • Late Bookings: For bookings made within 45 days of arrival, full payment is required immediately upon confirmation.

All payments must be made in Euros (€) via bank transfer. Any bank charges are the responsibility of the Client.

3. Cancellation Policy (Supplier-Matched Terms)

DMC Iceland acts as an intermediary between the Client and various third-party suppliers (hotels, transport companies, activity providers). Therefore, our cancellation policy is dynamic and reflects the specific terms of the suppliers involved in your itinerary.

How it works:

  • We consolidate the cancellation deadlines of all suppliers into one single policy for your convenience.
  • The specific cancellation dates and penalty percentages will be clearly stated in your Electronic Contract before you sign.
  • Generally, cancellations made closer to the arrival date will incur higher fees (e.g., 50% refund at 30 days, 0% refund at 14 days), but this varies by season and hotel.
  • Our Guarantee: We do not charge “hidden” cancellation fees. We only pass on the charges levied by our suppliers plus a reasonable administrative fee for work already performed.

4. Changes by the Client

Any requests to amend a confirmed booking (e.g., changing dates, reducing group size) must be made in writing. While we will do our best to accommodate changes, they are subject to availability and may incur additional costs from suppliers.

5. Liability & Force Majeure

DMC Iceland acts as an agent for transport, accommodation, and other service providers. We are not liable for:

  • Personal injury, loss, or damage to property caused by third-party suppliers.
  • Delays or cancellations caused by Force Majeure events, including but not limited to: volcanic eruptions, extreme weather conditions, strikes, pandemics, or government restrictions.

In the event of Force Majeure, we will work tirelessly to recover as many funds as possible from suppliers on your behalf, but we cannot guarantee full refunds if suppliers do not provide them.

6. Travel Insurance

We strongly recommend that all travelers and groups obtain comprehensive travel insurance that covers cancellation, medical expenses, and repatriation.

7. Governing Law

These terms shall be governed by and construed in accordance with the laws of Finland. Any disputes shall be settled in the district court of Helsinki.
